Data we collect
We collect the work email submitted through the form and, if provided, the person’s name. We also record the accepted Waitlist Terms version, the acknowledged Privacy Notice version, timestamps, waitlist status and limited email-delivery and security information.
We use keyed one-way fingerprints to prevent duplicates and locate a request for privacy handling. For abuse prevention, a keyed fingerprint derived from the submitting IP address is kept for two minutes; the raw IP address is not stored in the waitlist record. Hosting and security providers may process standard request data such as IP address, browser and request time in their operational logs.
When preparing your platform access, we may ask for the organisation’s identity and the professional or regulatory registration details relevant to its activities.

Purpose and legal basis
We use this information to operate and protect the waitlist, prevent duplicate or abusive requests, prepare your access and communicate about getting started.
Our legal basis is our legitimate interest under Article 6(1)(f) GDPR in administering a limited business waitlist and planning product access. The checkbox records acceptance of the Waitlist Terms and acknowledgement of this notice; it is not consent to marketing.
Joining is optional. A work email is required to maintain a waitlist request; providing a name is optional. We do not make decisions about access solely by automated means.

Recipients and transfers
Only authorised Ariadnah personnel may access waitlist records. SiteGround hosts the encrypted record and website backups. Cloudflare supports website delivery and security. Twilio SendGrid processes the work email, transactional message and delivery or security metadata. Microsoft 365 processes the internal operational notification and replies received by info@ariadnah.com.
SendGrid is a global service and may process data outside the European Economic Area under applicable contractual transfer safeguards. Open tracking, click tracking and advertising analytics are disabled for waitlist messages. We do not sell waitlist data.

Retention
A waitlist request is deleted from the active waitlist after twelve months unless the organisation proceeds to activation, withdraws earlier, or limited retention is necessary for a legal obligation or claim. If the organisation proceeds to activation or receives access, the later agreement and general privacy policy govern the resulting records.
Deleted records disappear from SiteGround backups as those backups rotate. Twilio currently states that message bodies may remain for up to 72 hours, most recipient and activity data for up to 37 days, and some pseudonymised security event data for up to one year. Replies are deleted when no longer needed for the waitlist unless they must be retained for a legal obligation or claim.

Security
The work email and optional name are encrypted at application level in a private WordPress record that is not publicly queryable or exposed through the WordPress REST API. Encryption and lookup keys are stored separately from the database, public website and source code. Administrative access is restricted to authorised reviewers.
The internal operational notification contains only an opaque application ID and a link to the access-controlled WordPress record; it does not contain the submitted name or work email. The message is sent through the authenticated transactional provider with tracking disabled to Ariadnah’s controlled Microsoft 365 mailbox. Ariadnah Solutions B.V. is ISO/IEC 27001:2022 certified by DNV.

Your rights
Subject to GDPR conditions, you may request access, correction, deletion or restriction, and may object to processing based on legitimate interests. You may also complain to the Dutch Autoriteit Persoonsgegevens or your local EU supervisory authority.
